If you have any checklists, forms, or documentation to complete when performing services for your customer, you can integrate that document into iFleet or Routzy using Adobe Acrobat DC Pro. The video below will explain what tools you’ll need to create a digital copy of your document, a form creation tutorial, and a walkthrough of managing forms with iFleet.

Remember, if you are having issues with creating your PDF fillable form, you may contact our form department to commission us to create the form for you. We offer form customization at a rate of $180.00 per hour, lasting a minimum of one hour. Time spent on forms greater than an hour will be billed at a rate of $45.00 per quarter-hour. Forms are completed in the order in which they are received, availability is dictated by the volume of form submissions received. While on average, a PDF Form takes 2-3 hours to create, please note that each form is different and therefore may require additional time.

Forms created by My Service Depot are covered by your Smart Service support plan, provided that your support is valid at the time of inquiry. My Service Depot is not responsible for the forms you create, or issues that arise with your PDF form. However, you may commission My Service Depot to assist with the development or troubleshooting of your PDF Form at a rate of $180.00 an hour, lasting a minimum of one hour. Time spent on forms greater than an hour will be billed at a rate of $45.00 per quarter-hour.

Below is a written guide for adding the form fields to your PDF document via Adobe Acrobat DC.

Creating a fillable PDF form requires the use of Adobe’s Acrobat DC, Standard, or Pro version. They also have a free trial available at that link which should provide you with enough time to get a quick form or two done.

You can start your form directly in adobe, or Microsoft Word, or Publisher. As long as you either save the document as a PDF or you download a pre-made form online as a PDF. Here’s a guide from adobe covering how to create a Fillable PDF form from scratch. From there, all that’s needed is to prepare it for use with iFleet.

At the top of the screen, you have several options for the different types of fillable fields that can be added to your form. In the example above, I have added a text field and a checkbox. When adding these fields to your form, make sure no two fields have the same name. Otherwise, altering one field by entering data will also alter all other fields with the same name.

In the image above, we’re adding what we call “Form Fields” to our PDF in Adobe. Once the text boxes have been placed on your document, you can tell them to pull information from iFleet by using these special codes.

When you double click in a form field and insert the appropriate code as the field’s name, iFleet will be told what information to insert into that text field automatically upon opening this document in iFleet.

When your form is complete, you can learn how to upload your form to your version of iFleet using one of these guides. This process must be done on each individual device, and Android users must install Xodo PDF Reader before using their form.

Requesting Custom Work

If your company is in need of a custom document for iFleet, Routzy, or Smart Service, you have the option of commissioning our team to create the document to your specification.  Clicking the button below will take you to the custom development request form where you can tell us about your new document and attach any examples you may have. Once your project has been assigned to a technician, they will reach out to you and review any questions they have about the document and provide an estimate for the work. We have also included a sample custom development agreement below which outlines all terms and conditions for custom work requests.

If you’re having trouble accessing the form, you’ll want to make sure you’re signing in with your Gmail account. If you do not use Gmail, please email us at [email protected] with any information about your request and the best way to reach you.

Free Forms

Below are some free forms based on the standard iFleet work order you can use as examples of a completed project. If your company hides or displays pricing depending on the type of customer, you may also use these to give your technicians the ability to select the correct pricing options for the situation.
