While Smart Service gives you a number of options for tracking information for your customers and jobs, you may have noticed that there are a couple of things you can’t change from within Smart Service. Specifically, you can’t change the name of a customer, location, or job, and you can’t move a job or location from one customer to another.

In order to make these changes, you need to find and change the record in QuickBooks. This article will explain how.

Renaming Records

To change the name of a customer, location, or job, you first need to find the record in QuickBooks.

In QuickBooks Desktop, you can find these records in the Customer Center. Once you find the record you want to rename, you can either right click on its name in the list and select Edit Customer (or Edit Customer:Job) or click on the record then click the pencil icon in the top right.

Once you have opened the Edit window, you can change the name of the record in the box in the top left (labeled Customer Name or Job Name).

In QuickBooks Online, you can find these records by navigating to the Customers page. Once you find the record you want to rename, you can click to open it, then click Edit in the top right.

From there, you can edit the “Display name as” field.

Once you have renamed the record in QuickBooks, you will have to sync the change over to Smart Service. You can do this by going to the Settings tab on the Smart Service ribbon and clicking on Sync Names.

Reparenting Records

You can move a location or job from one customer to another in QuickBooks.

In QuickBooks Desktop, you can find these records in the Customer Center. Once you find the record you want to reparent, you can either right click on its name in the list and select Edit Customer:Job or click on the record then click the pencil icon in the top right.

Once you have opened the Edit window, you can select the new parent record using the Customer drop down in the top right corner.

In QuickBooks Online, you can find these records by navigating to the Customers page. Once you find the record you want to rename, you can click to open it, then click Edit in the top right.

From there, look for the “Is sub-customer” checkbox. You an select the new parent record from the dropdown below that checkbox.

Once you have reparented the record in QuickBooks, you will have to sync the change over to Smart Service. You can do this by going to the Settings tab on the Smart Service ribbon and clicking on Sync Names.
